Guest Booking Terms

1. Introduction and definitions
These terms apply to bookings made through staygentic.co.uk (“the Website”), operated by StayGentic Ltd (“StayGentic”, “we”, “us”). StayGentic acts as the property Owner’s booking agent — the actual holiday letting contract for your stay is between you and the property Owner, not StayGentic directly, though StayGentic collects payment and manages the booking on the Owner’s behalf.
- “You” means the lead person making the booking.
- “Holidaymaker” means you and everyone staying with you under your booking.
- “Owner” means the person or company who owns and lets the property you’ve booked.
- “Property” means the holiday accommodation you’ve booked through StayGentic.
2. The contract
No booking is confirmed until StayGentic confirms it in writing (including by email). By booking, you confirm that you and every Holidaymaker accept these terms.
3. Deposit and balance payment
A deposit of 25% of the total accommodation cost is due at the time of booking. The balance is due no later than 42 days (6 weeks) before your arrival date. If you book within 42 days of arrival, full payment is due at the time of booking.
4. Amendment fee
Once a booking is confirmed, changes — including to the lead booker’s name or the dates of your stay — may be possible with the property Owner’s agreement. Where a change is agreed, a £75 amendment fee applies per change.
5. Late payment
If the balance payment is not received within 7 days of its due date, StayGentic reserves the right to cancel the booking and re-let the property. No refund will be due in these circumstances.
6. Cancellation by you
If you cancel your booking, the refund due depends on how much notice you give before your arrival date:
- 28 days or more before arrival: full refund of amounts paid, minus your non-refundable deposit.
- 14 to 27 days before arrival: 50% refund of the total accommodation cost.
- Inside 14 days of arrival, or in the event of a no-show: no refund is due.
We strongly recommend taking out your own travel insurance to cover unexpected cancellations — see Section 8.
7. Damage deposit (optional, per property)
Some properties require a damage deposit, shown clearly on that property’s listing and at checkout before you book. Where applicable, the deposit is charged in full at the time specified on the property page (typically shortly before arrival) and refunded within 7 working days of departure, minus reasonable deductions for damage or excess cleaning beyond normal wear and tear. Properties with no damage deposit shown do not require one — you remain contractually liable for any damage you cause regardless of whether a deposit was collected.
8. Insurance
We strongly recommend that you take out your own travel insurance at the time of booking. Neither StayGentic nor the property Owner is responsible for costs a standard travel insurance policy would normally cover, including cancellation, curtailment, or personal belongings.
9. Check-in, check-out and house rules
Check-in and check-out times, and any property-specific house rules, are set by the individual property Owner and shown on the property’s own page and in your booking confirmation — they are not fixed sitewide and may differ between properties.
10. Holidaymaker responsibilities
You and all Holidaymakers will treat the property with reasonable care, comply with any property-specific house rules, and pay for any damage caused beyond normal wear and tear. You will not exceed the maximum number of guests or pets stated for the property.
11. Complaints
Any issue with your stay should be raised with StayGentic or the Owner as soon as possible, ideally while you’re still at the property, so it can be addressed promptly.
12. Limitation of liability
Nothing in these terms limits StayGentic’s or the Owner’s liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, or for fraud. Otherwise, liability is limited to losses that were a reasonably foreseeable consequence of a failure to comply with these terms.
13. Governing law
These terms are governed by the law of England and Wales, and any dispute is subject to the exclusive jurisdiction of the courts of England and Wales.
